Immigration Coordinator – Frankfurt

You will be responsible in this versatile role for preparing immigration packages, following up with authorities on application status and supporting the Consultants with client inquiries and reporting. 

You will ideally have initial experience in an immigration / legal environment, or in a fast-paced professional services environment. Immigration Consultant – London

Job Description

This is a fast-paced, client-facing role that requires strong communication skills and an entrepreneurial spirit. Knowledge of country-specific immigration processes is not mandatory as training will be provided but you must be a quick learner, team player and willing to be thrown into the deep end early on.

This is a great opportunity to work within one of the most diverse teams within Fragomen and gain exposure to several fast-growing jurisdictions across Europe, CIS, and more. The role also provides the opportunity to strengthen your skills in project management, negotiations, analysis and many other areas.

Immigration Consultants are responsible for providing immigration services to a range of clients across primarily, but not exclusively, European jurisdictions.

Day-to-day coaching and weekly reviews will be provided by Senior Consultants with managers and senior managers overseeing long-term performance and training. 

RESPONSIBILITIES

  • Under supervision, the consultant’s main responsibility is to manage cases in assigned countries for a specific portfolio of clients.

  • Liaise with third-party vendors (TPV) and clients to ensure cases are on track.

  • Draft emails to clients/stakeholders, with correspondence reviewed by a Senior Consultant.

  • Update stakeholders on milestones.

  • Coordinate under supervision additional services with other internal teams (consular, documents etc) where applicable.

  • Exercise judgment in identifying and escalating matters to line managers attention. Senior consultants will be the first port of call for minor escalations with more complex/critical escalations being handled by managers and senior managers.

  • Document review.

  • General administrative support as required including:

  • Billing responsibilities.

  • Case record updates.

  • Document review and tracking.

  • Monitoring/confirming upcoming expiries.

  • Ad hoc admin tasks.

QUALIFICATIONS & EXPERIENCE

  • Strong customer service skills

  • Previous customer facing experience

  • Previous case/project handling experience

  • At ease in a fast-paced environment

  • Immigration experience/client facing skills are essential

Administrative Assistant

Job Description

As an Administrative Assistant, you will:

  • Schedule internal and client meetings, maintain calendars, coordinate team meetings, and schedule conference calls, including use of WebEx, Zoom and Teams

  • Prepare and edit client engagement letters for attorney review and approval, maintain tracking charts for incoming clients, and process retainer payments to Trust account from new clients  

  • Process incoming notices from immigration agencies and prepare related memoranda for attorney review and approval, to transmit notices to client

  • Case Manage data entry and continued maintenance of date integrity

  • File and maintain physical and electronic files and supporting documentation

  • Create, edit, print and distribute materials

  • Open or close records/cases; maintain any and all records as requested by supervisor

  • General administrative duties as needed (i.e. faxing, copying, typing, etc.)

  • Meet assigned deadlines and communicate case progress/status/issues to supervisor

  • Follow up with client for outstanding documentation

  • Maintain client contact information

  • Build knowledge of firm and client processes

  • Routine case monitoring (i.e. USCIS, DOL, NVC, etc.).

  • Make travel arrangements and process travel and other business expenses

  • Create electronic and physical client files

  • Create client Trust invoices and track client payment

  • Update client information in database

  • Organize, maintain and file legal documents

  • Undertake independent projects, as assigned by attorneys and supervisor

Coordinator in the UK Inbound Team – Sheffield

The Immigration Coordinator helps to provide exceptional levels of business support to a wide range of clients by supporting Fragomen’s UK Inbound Associate’s and Paralegal’s in an administrative capacity.

They are exposed to a full range of immigration processes and administrative tasks including drafting initial emails, drafting immigration applications, preparing compliance packs and updating case management system.

Senior Immigration Consultant – Amestardam - Brussels

The Senior Immigration Consultant will be responsible for assisting the manager with the successful delivery of high quality legal advice. This includes, but is not limited to, monitoring work flows, day-to-day liaison with clients, the preparation of applications and reporting on the performance of the team.

You are a point of reference for day-to-day questions and should be a source of technical expertise for other members within the team. You are expected to act as a role model for more junior members of staff, assisting them to develop their core competencies to the level required.

You are expected to actively contribute to the growth of the office through relationship building, managing officewide projects, etc.

Background, skills & competencies:

  • Previous immigration/ global mobility experience and a strong background in a client facing role

  • Master degree holder, preferably in Law/Legal Services or Human Resources

  • Knowledge of Dutch immigration AND/OR Belgian immigration

  • Proven experience with developing strong working relationships with team members

The job

We are looking for national legal editors to cover decisions in the field of merger control
from the competition authorities. The jurisdictions concerned are Czech Republic, Finland,
Iceland, Latvia, Lithuania and Slovakia. The editor will translate into English and feed
relevant parts of merger control decisions to the Caselex interface. Our online system
supports editors in completing this task effectively and efficiently. Our team of proof-readers
monitors the work and provides crucial feedback to aid the work of editors.
